How to get residents and referrals.

Referrals come from people: case managers, support coordinators, discharge planners and families.

This is who they are, what they check before they call, and how to make that check easy for them.

Who refers

  1. Case managers. They help a person find services and a place to live. When someone needs a home, they call around.
  2. Support coordinators. If a person’s services are paid for through a disability waiver program, a support coordinator helps them choose providers. Your state may use a different job title; the job is the same.
  3. Discharge planners. At hospitals and rehab centers, they find a safe place for someone who is ready to leave, sometimes on short notice.
  4. Families. Adult children, parents and spouses, usually searching on a phone.
  5. People who already know you. Your residents’ families, your place of worship, your doctor’s office, other providers. A good word goes further when there’s a site to send people to.

The check

Expect to be looked up before anyone calls. Make sure they find these:

  1. A real website. Your home’s name, your town, who you serve, how many residents, your requirements and how to reach you. Keep your Facebook page, but the website is the one you own and the one your flyer can point to.
  2. A phone that gets answered. Or a voicemail that says when you’ll call back, and then a call back.
  3. Photos of the actual house. Your real bedrooms, kitchen, living room and the outside, not pictures of somebody else’s house. If they visit, it should look like the photos.
  4. Your requirements, in writing. Ages, the support you give, what you can and can’t take on. It saves a call that was never going to work, for both of you.
  5. A way to ask for a tour. A tour form works at night and on weekends, when you can’t pick up.

Be easy

Small habits make you the home people find it easy to refer to:

  • Use the same name, phone number and web address everywhere: your site, your flyer, Google and your voicemail.
  • Post when a bed opens. From your admin page it’s one announcement, and it can go to your newsletter too.
  • Answer the same day if you can, even if it’s only to say when you’ll call properly.
  • After a referral, say thank you.
  • Keep a short summary you can email: who you serve, openings, requirements and a link to your site.

The flyer

Paper still travels. A flyer left at an office, a hospital social work department or a community board (where you’re allowed to) can be picked up after you’ve gone.

Put a QR code on it that opens your site. Ours carry their own tag, so when someone scans the flyer, your admin page shows the visit came from the flyer, not just one more anonymous visit. That’s how you know the flyer is working.

What to put on it

  • Your home’s name and logo.
  • One photo of the house.
  • Who you serve, in one line.
  • Your requirements, short.
  • Your phone number, your web address and the QR code.

Questions

Do I need a website if my referrals come by phone?

The phone is where a referral ends, not where it starts.

Someone who hears your name may look you up before calling, and a site gives them enough to make the call.

What should the first line of my site say?

Your home’s name, the kind of home it is, your town, and who you serve.

For example: a home for adults with developmental disabilities in your town, with two beds open.

Can I show which beds are open?

Yes. Post it as an announcement from your admin page when a bed opens, and take it down when it’s filled.

Where should I leave flyers?

Where the people who refer actually work, and where you’re allowed to: case management offices, hospital and rehab social work departments, places of worship and community boards. Ask first.
